First, have your billing staff take this printable exam and return it to you for review. Then 'grade' the quiz to find out how well they did. Allow them to use all their resources. Then for each missed question, consider that your annual collections have decreased by a very conservative 1%.
This may take an afternoon, but could yield enormous returns to your bottom line! Ask your billing staff to provide you with a detailed list of the largest adjustments for the last month ranked from largest to smallest adjustment. Select adjustments equal to approximately 10% of your monthly collections and request supporting documentation. Examine the documentation. What was the cause of this adjustment? Was a procedure completely disallowed? If so, why? Was it an unrelated service during a global period? If so, a proper modifier should get it paid. Was it a 'medical necessity' denial? Have the patient�s medical records been examined for a supporting diagnosis? Was the claim denied for lack of timely filing? Omit from the analysis any adjustments for amounts due by patients. Collecting from non-paying patients is a 'hard collection' process best left to a professional collection agency.
Your staff knows what you want to see. How often is a difficult patient�s bill written off so your staff no longer has to deal with them? How frequently are write-offs done so you can be shown a certain percentage collection rate? Are you looking at your percentages, your amounts outstanding or the actual dollars coming into your practice? How often are accounts written off rather than appealed because your staff just doesn�t know what to do?
Once you have compiled all of this information, you will have a very clear - and perhaps again surprising - overview of your actual billing costs once everything is figured in ... including all the hidden costs that are so often overlooked.
